Your rights

With regard to the personal data concerning you, you have the right to information, correction and data transfer. Under certain conditions, you also have the right to have your personal data deleted.

Special information for visitors to our website

We have concluded an order data processing contract with our hosting service provider. Your data is stored on protected servers in Germany and conscientiously protected against loss, destruction, falsification, manipulation and unauthorized access or disclosure. We encrypt our online offer using an SSL certificate (Secure Sockets Layer), i.e. we encrypt the data transfer between your computer and CONVIS.

You can visit our website without providing any personal information. However, in order to provide our online offer, we store (without personal reference) your access data to this website and statistically evaluate accesses.


Contact via contact form or e-mail

Our website contains a contact form that can be used tocontact us electronically. If a user makes use of this option, the data entered in the input mask is transmitted to us and stored. These data are first and last name as well as the e-mail address. When the message is sent, the date and time the form was sent are also stored.

Alternatively, it is possible to contact us via the e-mail address contact@convis.com provided. In this case, the user's personal data transmitted with the e-mail will be stored. In this context, the data will not be passed on to third parties. The data is used exclusively for processing the conversation. The processing of the data entered in the contact form is based on a legitimate interest (Art. 6 para. 1 lit. f DSGVO). The data is only stored for the duration of the processing of the e-mail.

Nevertheless, we would like to point out that data transmission on the Internet (e.g. when communicating by e-mail) can have security gaps. Complete protection of data against access by third parties is not possible.


Log files

Each time our website is accessed, our system automatically collects data and information about accesses to the website and stores them as "server log files" on the website server. The following user data is collected:

Browser type / browser version, operating system, IP address, date and time at the time of access, amount of data sent in bytes, pages visited, and the source from which the user accessed our website.

The legal basis for the temporary storage of the data and the log files is our legitimate interest (Art. 6 para. 1 lit. f DSGVO) to ensure the functionality of the website and the security of our information technology systems. An evaluation of the data for marketing purposes expressly does not take place.

The data is deleted as soon as it is no longer required to achieve the purpose for which it was collected. In the case of the collection of data for the provision of the website, this is the case when the respective session has ended. In the case of storage of data in log files, this is the case after four weeks at the latest. Storage beyond this period is possible. If data must be retained for evidentiary reasons, it is exempt from deletion until the incident has been finally clarified.


Cookies

Cookies are small files that enable specific information related to the device to be stored on the user's access device (PC, smartphone or similar). On the one hand, they serve the user-friendliness of websites and thus the users (e.g. storage of login data). On the other hand, they serve to collect statistical data on website usage and to be able to analyze it for the purpose of improving the offer.

Use of technically unnecessary cookies

In some cases, technically unnecessary cookies are used on our websites to make visiting our website more comfortable or safer. In addition, these cookies can be used to better tailor the offer on our website to the interests of visitors or to generally improve it on the basis of statistical evaluations.

We use the web analytics tool Matomo an open digital analytics platform provided by InnoCraft Ltd (150 Willis St, 6011 Wellington, New Zealand).

Information is collected on the operating system and browser, IP address, country of origin, referrer URL, previously visited website, external links clicked, date and time of visit to our website, time spent on our website and subpages of our website visited.

Matomo is operated on the same server on which our website is operated. There is no transmission of visitor data to third countries.

Social media presences

We have online presences within social networks and platforms in order to be able to communicate with customers, interested parties and users active there and to inform them about our services there. When calling up the respective networks and platforms, the terms and conditions and data processing guidelines of the respective operators apply.

We only process the users' data if they communicate with us within the social networks and platforms, e.g. write posts on our online presences or send us messages.


Links to other websites

We set links to external sites that are specially marked and whose content is not located on our server. The external contents of these links were checked when the links were set. However, it cannot be ruled out that the contents have been subsequently changed by the respective providers. If you notice that the contents of the external providers violate applicable law, please let us know.

This data protection declaration only applies to content on our servers. The responsible party has no influence on compliance with data protection regulations on other Internet sites.


Integration of third-party services and content

We use within our online offer on the basis of our legitimate interests (i.e. interest in the analysis, optimization and economic operation of our online offer within the meaning of Art. 6 para. 1 lit. f. DSGVO) to integrate content or services offered by third-party providers, such as videos or fonts (hereinafter uniformly referred to as "content").

This always requires that the third-party providers of this content are aware of the IP address of the user, since without the IP address they could not send the content to their browser. The IP address is thus required for the display of this content. We strive to use only such content whose respective providers use the IP address only for the delivery of the content.

Third-party providers may also use so-called pixel tags (invisible graphics, also known as "web beacons") for statistical or marketing purposes. The "pixel tags" can be used to evaluate information such as visitor traffic on the pages of this website. Purpose of data processing

We process your personal data exclusively within the legal framework and in compliance with the EU General Data Protection Regulation and the Federal Data Protection Act.

If the processing of personal data is necessary for the performance of a contract, the processing is based on Art. 6 (1) lit. b DSGVO. We process other data on the basis of a legitimate interest pursuant to Art. 6 (1) lit. f DSGVO. Our legitimate interest may be, for example, the performance of our business activities and its promotion. In all cases where we obtain the consent of the data subjects, the processing is based on Art. 6 (1) lit. a DSGVO.


Retention period of your personal data

In principle, we delete the data when the purpose for which the data was collected has ceased to exist, e.g. upon termination of a contractual relationship, provided that no legal retention obligations prevent deletion. If deletion is not possible, e.g. data stored in an electronic archiving system, it will be blocked for further processing.

The retention period or the deletion periods depend on the type of data. We keep a precise list of the data categories and types of data we process in an electronic register of processing activities in accordance with Article 30 DSGVO.

We delete data that we need to assert, exercise or defend legal claims only after the expiry of the limitation period.

We process and store personal data only for the period necessary to achieve the purpose of storage or if required by law. As a rule, the processing purpose is achieved with the completion of your order.

Backup copies in our backup systems are automatically deleted with a time delay. For contract data, processing is restricted after the termination of the contract, and after the expiry of the legal retention period, it is deleted.


Changes

From time to time, an adjustment of our privacy policy may become necessary. In this case, we will actively inform you about the change. In principle, we recommend that you call up and read through this data protection information at regular intervals.


Special information for applicants

Purpose of data processing

We process your personal data that you have provided to us in the context of an application for a job offer or on your own initiative in accordance with Section 26 (1) of the German Federal Data Protection Act (BDSG) for the purposes of the employment relationship, in order to check a possible employment and, if necessary, to conduct an interview or to prepare a contract offer.

We process your personal data beyond this if we have a legitimate interest in processing pursuant to Art. 6 (1) f) DSGVO. In this context, our legitimate interest may be the assertion of legal claims and defense in the event of legal disputes or, if an employment relationship is established, the transfer of your data to the personnel file.

Processing for purposes of consideration for future job offers will only take place on the basis of your express consent pursuant to Art. 6 (1) a) DSGVO.

We do not use your personal data in any way for automated decision-making or profiling.


Recipients of the data

As a matter of principle, we do not pass on personal applicant data to third parties who process data under their own responsibility, unless you have given your consent to do so or a statutory regulation provides for this. If we outsource parts of the data processing to service providers by way of commissioned processing, we conclude corresponding commissioned processing contracts with these suppliers in accordance with Art. 28 DSGVO.

In our company, only the HR department, the management, management and possibly your subsequent supervisor have access to your personal data.

We process your personal data exclusively in Germany and have no intention to process the personal data in third countries.


Retention period of your personal data

In principle, we only process your personal data for as long as is necessary to fulfill the above-mentioned purposes.

If you apply to us for a job offer and a contract of employment is concluded, we store your personal data with the personnel files in accordance with the statutory provisions. If we do not decide in favor of you, then we delete your personal data 6 months after sending the rejection.

It could be that we initially do not have the opportunity to offer you a job, but we would still like to stay in contact with you. In this case, we will only store your application if you have previously given us your consent to do so.

We store data that we process on the basis of your consent until revoked or for a maximum of 2 years. For more information, please refer to the declaration of consent.


Changes
